1. Who We Are

Sartori Exhibitions (“we”, “us”, “the Gallery”) is a curated group exhibition business. This policy explains how we collect, use, and protect personal data when you submit artwork to us, visit our website, or otherwise interact with us.

2. What Information We Collect

When you submit artwork through our website, we collect:

  • Your name, email address, and phone number
  • Details of the artwork submitted: title, medium, and dimensions
  • A digital image of the artwork
  • Payment information, processed securely by Stripe (we do not store your card details)

If your work is selected and sold during the exhibition, we will additionally ask for your bank account details (account name, sort code, and account number) in order to pay you the proceeds of sale.

We do not require you to create an account, log in, or maintain a profile with us. Each submission is a one-off transaction tied to the information you provide at the time.

3. How We Use Your Information

We use your information to:

  • Process and review your submission, including curatorial selection
  • Take payment of the submission fee
  • Notify you of the outcome of your submission
  • Coordinate delivery, collection, and exhibition logistics if your work is selected
  • Pay you if your work sells during the exhibition
  • Contact you about future Open Calls and exhibitions, if you have not opted out

The legal basis for most of this processing is performance of a contract between you and us (the submission and exhibition process) and, for marketing about future exhibitions, our legitimate interest in keeping artists we have worked with informed — you can opt out of this at any time.

4. Who We Share Your Information With

We use a small number of trusted service providers to run our submission and exhibition process. Your information may be processed by:

  • Stripe — payment processing
  • Supabase — secure database storage of submission records
  • Resend — automatic confirmation emails when you submit
  • EmailJS — selection/rejection notification emails
  • Fasthosts — our email hosting
  • Vercel — website hosting

We do not sell your personal data. We do not share it with any other third party for their own marketing purposes.

Some of these providers may process data on servers outside the UK. Where this happens, we rely on their standard contractual safeguards for international data transfers.

5. How Long We Keep Your Information

We keep submission records, including artwork images and correspondence, for as long as reasonably necessary to administer the exhibition, deal with any post-exhibition queries, and meet our accounting and legal obligations — typically no longer than 24 months after the exhibition closes, unless you ask us to delete it sooner or we are required to keep it for longer for legal reasons.

Bank details provided for the purpose of paying out sold works are retained only for as long as necessary to complete payment and our related accounting obligations.

6. Your Rights

Under UK data protection law, you have the right to:

  • Access the personal data we hold about you
  • Ask us to correct inaccurate data
  • Ask us to erase your data
  • Restrict or object to our processing of your data
  • Request that your data be provided to you in a portable format
  • Withdraw consent, where processing is based on consent
  • Complain to the Information Commissioner's Office (ICO) at ico.org.uk

7. Marketing

If you submit to an Open Call, we may contact you about future Sartori Exhibitions opportunities. You can opt out of this at any time by emailing submissions@sartoriexhibitions.com or using the unsubscribe link in any marketing email.

We take reasonable technical and organisational measures to protect your personal data, including secure, access-controlled database storage and encrypted payment processing via Stripe. No online system is completely secure, but we work to keep your information safe.
